The Challenge: Scaling consistent client reporting across 800 practices

Equality Health is a value-based primary care network built for Medicaid, serving roughly 800,000 patients through 800+ independent practices across five states. A central BI team of five analysts owns the Power BI model behind the network's reporting.

The highest-stakes deliverable is the per-practice Monthly Performance Review, which includes quality metrics, care gaps, and incentive payout details. Previously, account managers built these PowerPoints themselves by filtering Power BI and screenshotting charts into roughly 15 slides for each of their 30 to 50 practices. 

Due to inconsistencies in preparation, each market told a different story, and the team realized that markets with lighter touch reviews churned more. "Until a few months ago, every account manager was manually building decks for 800 practices every month," says Chief Product and Technology Officer Claire Zimmerman-Nichols. "Reporting was the bottleneck for everything else CS was trying to do."

  • Skipped practices: The smallest accounts were the first dropped when time ran out, which impacted renewal rates and NPS.

The Solution: Standardized, automated client reporting with Rollstack

Equality Health standardized one branded template per report type around the three things every practice needs monthly: quality performance against state targets, membership, and CareEmpower platform usage. The BI team connected its existing Power BI dashboards, set filters per market, parent account, and practice, and piloted with 45 Monthly Performance Reviews in one market. Nine months later coverage was org-wide, run by a single superuser.

All Performance Review decks now refresh on an overnight schedule and land on a SharePoint site, indexed by practice and market. Account managers receive a finished PowerPoint they can still edit if they have specific insights into a practice, a process which greatly helped build confidence and adoption of the new approach during onboarding. The team is also beginning to explore Rollstack’s own AI suggested insights feature in an effort to fully automate the per-practice report generation process.

The team also conducts a monthly template session with marketing to add new collateral that propagates to all practice templates automatically.

  • Personalization at scale: One collection generates a filtered variant for every practice in the network, while still allowing Account Managers to edit the final PowerPoints.
  • Hands-off delivery: Scheduled refreshes land in SharePoint without anyone clicking a button.
  • AI insights: Supporting narratives for graphs and charts can be generated automatically in the Rollstack platform.

The impact: 14 analysts' worth of output, no new headcount

Monthly deck volume quickly grew from 45 in the pilot to roughly 2,000 (a 44x increase), while slides refreshed jumped from 298 to 13,091 a month. Conservatively estimated, that output equals 14 full-time analysts dedicated to client reporting. 

Every practice now receives a personalized, complete review every month. In Equality Health's most recent quarterly provider survey, the network earned a Net Promoter Score of +52, and 82% of respondents said they expect to remain enrolled with Equality Health. "Marketing at Equality Health is a two-person team," says Justin Contré, Senior Director of Marketing & Communications. "The Monthly Performance Review is now the one piece of content that reaches every practice in our network, every month, and anything we add to the master template goes out with it. This would not have been possible with existing FTEs across multiple teams at EH, let alone just Marketing. Rollstack has helped us to achieve customer service at scale."

Account managers went from an overwhelming amount of manual work to polished decks that appear in a folder for them ready to go. "It's really been a huge unlock for us in terms of our ability to meet our customers' needs and to do it efficiently and be good stewards of our Medicaid dollars," Zimmerman-Nichols says.
